PROJECT COORDINATOR

The Project Coordinator will assist the Creative teams in organizing ongoing projects and project administration. Project Coordinator will be the primary individual for file management, scheduling and detailed tracking. Key tasks involve file management, schedules, generating reports, supervising file structure, tracking expenditures, budgets, and taking notes. Project Coordinator may be asked to lead portions of a project as well as do research on specific project requirements design, logistics, or otherwise. The Project Coordinator will report to the Chief Design Officer.

Job Responsibilities:

  • Participate in project meetings and propose workflow and/or critical path input if necessary

  • Evaluate potential problems and develop solutions

  • Plan and manage team goals, project schedules and information

  • Coordinate workflow with project teams members and track project deliverable production

  • Manage project-related paperwork and documents by ensuring all necessary materials are current and properly stored on the company server

  • Direct project correspondences by preparing and reviewing project memos, meeting minutes, and emails

  • Adhere to budget monitoring and cost-saving measures.

Requirement Capabilities:

  • Theater, Film/TV, Theme Park, and/or Museum specification and installation experience

  • Working knowledge of Theater, Film/TV, Theme Park, and/or Museum design processes including methods of construction and installation

  • Understanding of the creative process and the development of a creative design

  • Ability to deliver on a Project’s established scope, schedule and budget

  • Demonstrated commitment to on-going personal education

  • Ability to work flexible hours - nights, weekends, holidays

  • Proficient in Microsoft Office and/or G Suite

  • Possess excellent communication skills; highly motivated; can accept direction easily

  • Strong organizational and multi-tasking skills

  • Excellent analytical and problem solving abilities

  • Team-management and leadership skills

  • Documentation management and ability to use project management tools

  • Attention to details even under pressure

  • Time management skills with the ability to meet deadlines

  • Fluent in English (written and spoken)

Desired Capabilities:

  • Google Suite or Microsoft Office

  • SmartSheets

  • Priority Matrix

  • Experience with Slack

  • Fluency in Chinese, Vietnamese or Spanish (written and spoken)

  • Ability to work closely with all relevant staff to prioritize, organize, instruct and problem-solve during installation, content integration and programming

Quantum Creative Studios is a global company with international projects. Successful candidates may be required to travel internationally and must be comfortable working closely with clients and vendors of different cultural backgrounds. Successful candidates must have a valid passport with no travel restrictions or obtain one within 6 weeks after employment.
